Manufacturing - Body Administrative Specialist

Summary

The Body Administrative Specialist will be responsible for all administrative tasks for the section to include creating reports, maintaining information in reporting databases and presentation boards. They will also assist in leading and coordinating the safety and environmental initiatives for the section and coordinate section wide staffing alongside production management.

 

Essential Job Functions

The essential functions described below are intended to broadly define the expectations of the role.

 

  1. Provides section-wide production staffing coordination.
  2. Section safety coordination. Provides coordination of meeting activities and trains and develops safety coordinators in Production
  3. Environmental/Energy Liaison for section. Conducts monthly progress meetings with management and works with vendors on PPE.
  4. Maintain the TPM boards for the section to include data analysis and entry.
  5. Section Budget controller for IPC Metal and assists in budget controlling for the Body Shop. Indirect procurement for Body section supplies.
  6. Develops and maintains presentation materials for Production leadership.
  7. Provides data analysis on assigned projects as needed.
  8. All other duties as assigned.

Required Education, Experience and Qualifications

  • Associates degree in Business Administration or related field and 2+ years of relevant experience
  • Proficient in Microsoft Office suite including Teams and Share Point

 

Preferred Education, Experience and Qualifications

  • Bachelor's degree in Business Administration or related field, plus 2 or more years of relevant experience
  • Experience with SAP
     

Skills and Knowledge Required

  • Proficient in basic computer skills (typing, electronic filing, etc.)
  • Experience with Microsoft Products (Excel, Word, PowerPoint, etc.)
  • Strong communication skills 
  • Ability to effectively multi-task, adhere to deadlines, and be able to work collaboratively within a team as well as autonomously.

 

Work Environment

This role operates in a professional open office environment subject to frequent interruptions and distractions, particularly during heavy customer service periods (e.g., in-between production shifts). Occasionally required to work in an industrial manufacturing setting that will include moving and/or assembly lines. This role routinely uses standard office equipment such as computers, phones, and photocopiers. The role frequently collaborates with colleagues, internal customers/Associates, and management.

 

Work Hours

This role generally works administrative hours (8:30 am to 5:00 pm Monday – Friday) and is subject to occasional overtime to meet demands of production, which may include 1-3 scheduled Saturdays per year and occasional daily overtime. This role does not currently allow for remote work opportunities.

 

Travel

This role requires minimal travel. Occasional travel may be required mainly for off-site training or business collaboration purposes.
